This is a 3-month contract position to cover maternity leave - starting mid-September until 23rd December 2026

Job Description: Sales Admin Support

Tasks:

Sales & Quoting Support:

Generate and manage sales quotes, including:
Adding products to BrandEngine.
Requesting supplier or production quotes.
Calculating pricing and margins.
Submitting quotes for internal approval.
Sending approved quotes to clients.
Create, arrange, and manage deals and tickets (Quotes, Tickets) in Assist the Sales team with quote follow-ups and revisions.

Pipeline & CRM Management:

Maintain the Quote Dashboard and sales pipeline in HubSpot.
Ensure all deals include accurate job details, values, timelines, and status updates.
Conduct daily pipeline checks to ensure deals are current and correctly tracked.

Job, Artwork & Event Coordination:

Coordinate artwork requests and client presentations with the Art Team.
Track job progress and liaise with Production, Dispatch, and Fulfilment teams.
Track production timelines and communicate updates to the Sales Team.
Support Sales with event-related needs, inventory issues, and fulfilment coordination.
Send monthly client check-in emails regarding upcoming events and jobs.

Reporting & Administration:

Prepare weekly and monthly sales reports.
Maintain sales dashboards and reporting documentation.
Assist with sales forecasting and pipeline reporting.
Maintain accurate documentation.
Provide administrative support for dispatch and shipping labels, as needed.
Assist with special projects across Sales and Operations.
Perform additional administrative tasks to support the Sales and Operations teams.
Attend scheduled internal meetings to align with priorities and timelines.

2. Purpose:

The Sales Admin Support ensures the smooth flow of sales and operational processes by managing administrative tasks, supporting client projects, and maintaining accurate records. This role helps streamline operations, support account managers, and contribute to client satisfaction and timely project delivery.

3. Scope:

The role supports sales account managers, operations, and fulfillment by handling administrative tasks, documentation, and coordination. It covers quote creation, artwork requests, reporting, pipeline management, event coordination, and client communication, serving as a critical link between clients and internal teams.

4. Consequences:;

Positive Outcomes: Efficient sales operations, timely client service, accurate reporting, improved team productivity, and successful event execution.
Negative Outcomes: Inaccurate records, delayed quotes or dispatches, or poor coordination may cause client dissatisfaction, revenue delays, and operational inefficiencies.

5. Qualifications:

Experience in sales administration, customer service, or a related administrative role.
Strong organisational skills with attention to detail.
Proficiency in CRM and project management tools (HubSpot, BrandEngine, Trello preferred).
Strong communication and coordination abilities.
Ability to manage multiple tasks and meet deadlines.
Team-oriented, proactive, and adaptable.
